Fulfillment Policy – Human Interfaces

At Human Interfaces, we are committed to delivering high-quality executive coaching services designed to help leaders align strategy, communication, and organizational culture. This Fulfillment Policy outlines how and when services are delivered to clients who purchase coaching engagements through our website or directly via invoice.

Service Description

Human Interfaces provides executive coaching and leadership development programs. Services are delivered virtually or in person and include one-on-one coaching sessions, feedback sessions, email/text support, and optional observation-based coaching.

Each coaching engagement is customized and outlined in a written proposal or agreement prior to payment. Examples of services may include:

  • 45-50 minute coaching sessions

  • Mid-point check-ins and asynchronous support

  • Strategic advisory or team engagement (as agreed upon)

Delivery Timeline

Once payment is received, clients will receive a welcome email within 2 business days to schedule their first session. Most clients begin within 1–2 weeks of payment, depending on mutual availability.

Engagements are typically structured in multi-week or monthly increments, as agreed upon in advance and reflected in the coaching proposal.

Method of Delivery

  • Virtual sessions: Delivered via Zoom. Meeting links are included in calendar invitations.

  • In-person sessions (when applicable): Held at Human Interfaces’ office in Ithaca, NY or at a mutually agreed location.

  • Asynchronous support: Email or text responses within 48 hours during business days.

Cancellations and Rescheduling

Clients may reschedule sessions with at least 48 hours’ notice. Missed appointments or late cancellations may be charged the full session fee.

If the coach must cancel, we will reschedule at no cost to the client.

Refund Policy

Due to the customized and time-based nature of coaching services, all purchases are non-refundable once services have commenced. If a prepaid package has not started, clients may request a refund minus a 5% administrative fee within 7 days of payment.

If either party terminates the engagement with 2 weeks’ written notice (as outlined in the coaching contract), unused portions of pre-paid services will be refunded on a prorated basis.
